Scope and our privacy roles
This Privacy Policy explains how AgentEasePro (“AgentEasePro,” “we,” “us,” or “our”) collects, uses, discloses, and protects Personal Data when you visit our websites, create or use an account, communicate with us, or use the AgentEasePro real estate CRM and transaction workspace (collectively, the “Service”).
We act as a business or controller for information used to operate our website, accounts, billing, support, security, and direct relationship with you. When a real estate professional or organization uses the Service to manage information about its leads, clients, signers, and other contacts (“Customer Data”), that customer generally controls the data and AgentEasePro processes it as a service provider or processor on the customer’s instructions.
If an AgentEasePro customer has entered your information into the Service, contact that customer first about its privacy practices or a request concerning your data. We will support the customer as required.
Information we collect
Account and business information
Name, email, phone number, login credentials, profile image, business or team name, brokerage information, real estate license details, settings, plan, and account preferences.
Customer, transaction, and document data
Leads and client contacts, notes, relationship history, property and listing details, deal stages, parties, tasks, deadlines, commissions, marketing activity, files, contracts, form fields, signature requests, signing events, audit details, and other information submitted through the Service.
Communications and support
Emails, text-message metadata and content where supported, signing invitations, notification preferences, support requests, survey responses, call or meeting notes, and other communications with us or sent through the Service.
Billing and commercial information
Subscription, transaction, invoice, billing address, and payment-status information. Payment processors collect and process full payment-card details; AgentEasePro generally receives only limited payment identifiers and status information.
Device, usage, and log information
IP address, device and browser type, operating system, timestamps, pages or features used, referral or UTM information, authentication events, error logs, performance data, and security activity.
Integration data
Information received from services you connect, such as calendars, email, communications, storage, payments, social platforms, lead sources, property services, or document tools. The data depends on the permissions you grant.
Sources of information
We collect Personal Data from:
- You, your authorized users, your brokerage or team, and people who communicate with you.
- Your use of the website and Service, including cookies, logs, and similar technologies.
- Integrations and services you choose to connect.
- Lead forms, signing flows, landing pages, imports, and other customer-directed collection tools.
- Service providers, payment processors, security vendors, and support systems.
- Public or licensed sources, such as business, professional, property, or listing information.
How and why we use information
- Provide, configure, personalize, maintain, and support the Service.
- Create and secure accounts, authenticate users, and prevent fraud, abuse, or unauthorized access.
- Process subscriptions, payments, invoices, trials, and account administration.
- Run CRM, deal, contract, e-signature, deadline, document, listing, marketing, and reporting features.
- Deliver customer-directed emails, texts, reminders, notifications, and signing invitations.
- Connect and operate authorized integrations.
- Diagnose errors, measure performance, understand feature use, and improve the Service.
- Respond to support, feedback, product, privacy, and legal requests.
- Send product news or marketing where permitted, with an unsubscribe option.
- Enforce agreements, protect rights and safety, and comply with legal obligations.
Where laws require a legal basis, we rely on performance of a contract, legitimate interests, consent, and compliance with legal obligations, depending on the activity and jurisdiction.
Customer Data and end-client information
Our customers decide what end-client information to collect, why to use it, who may access it, and how long to keep it. Customers are responsible for providing privacy notices, obtaining consent, honoring rights, and complying with laws that apply to their leads, clients, signers, communications, and real estate records.
We process Customer Data to provide the Service, follow customer instructions, protect the Service, comply with law, and create aggregated or de-identified insights that do not reasonably identify an individual. We do not use Customer Data to market unrelated third-party products to a customer’s leads or clients.
Unless expressly supported and agreed in writing, customers should not upload Social Security numbers, driver’s-license images, complete financial-account or payment-card numbers, protected health information, information about children, or other highly sensitive regulated information.
How we disclose information
We may disclose Personal Data to:
- Service providers: hosting, database, authentication, analytics, support, communications, document, security, payment, and professional-service vendors working for us.
- Your account and recipients: your team, authorized users, clients, signers, transaction parties, and people you direct us to contact or share with.
- Connected services: third parties you authorize through an integration or workflow.
- Legal and safety recipients: courts, regulators, law enforcement, or others when reasonably necessary to comply with law, enforce agreements, or protect rights, safety, and the Service.
- Business transaction participants: advisers, counterparties, or successors involved in a financing, merger, acquisition, reorganization, bankruptcy, or sale of assets.
- Others at your direction: when you consent or ask us to disclose information.
We do not sell Personal Data for money, and we do not sell Customer Data or share it for cross-context behavioral advertising. We may disclose aggregated or de-identified information for lawful business purposes.
Email, text messaging, and signing communications
We use contact information to deliver account notices, customer-directed communications, reminders, support messages, and signing requests. Message and data rates may apply. Recipients can use available unsubscribe or opt-out instructions; transactional or security messages may continue when necessary.
Mobile opt-in data and consent records are not shared with third parties for their own marketing. We may share them with communications providers and subcontractors only as needed to deliver messages, prevent abuse, support the Service, or comply with law.
Data retention
We retain Personal Data only as long as reasonably necessary to provide the Service, maintain the business relationship, meet contractual commitments, resolve disputes, enforce agreements, protect security, and comply with legal, tax, accounting, and recordkeeping obligations.
Retention varies by data type, account status, customer instructions, legal requirements, and backup cycles. After deletion, information may remain temporarily in backups or be retained when required by law. We may retain aggregated or de-identified information that no longer reasonably identifies an individual.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect Personal Data, including encrypted network connections, authentication, access controls, logging, vendor controls, and practices intended to limit unauthorized access.
No system is completely secure. You are responsible for protecting credentials, devices, signing links, exports, and local copies. Contact us promptly at privacy@agenteasepro.com if you believe information or an account has been compromised.
Your privacy rights and choices
Depending on your location and relationship with AgentEasePro, you may have rights to access, know, correct, delete, or obtain a portable copy of Personal Data; restrict or object to processing; opt out of certain targeted advertising, sale, sharing, or profiling; withdraw consent; or appeal a denied request. We do not discriminate against people for exercising applicable privacy rights.
Submit a request to privacy@agenteasepro.com. We may need to verify your identity and authority before acting. Authorized agents may submit requests where allowed by law, subject to verification.
If your information was submitted by an AgentEasePro customer, contact that customer first. Because the customer controls its Customer Data, we generally respond to the customer’s instructions unless law requires otherwise. You may also unsubscribe from marketing email using the link in the message and disconnect integrations through available account settings.
U.S. state privacy disclosures
The categories collected during the preceding 12 months are described in “Information we collect” and may include identifiers, customer records, commercial information, internet or electronic activity, approximate location derived from IP address, professional information, communications, and inferences based on product use. Sources, purposes, and recipient categories are described throughout this Policy.
We do not sell Personal Data for money. We do not sell Customer Data or share it for cross-context behavioral advertising. If our practices change in a way that creates an opt-out right, we will provide the required notice and method before applying that change.
International processing
AgentEasePro is operated from the United States, and information may be processed in the United States and other countries where our service providers operate. Those countries may have different privacy laws. Where required, we use recognized safeguards for cross-border transfers and provide additional information upon request.
Children and third-party services
The Service is designed for real estate professionals and is not directed to children under 18. We do not knowingly collect Personal Data directly from children. Contact us if you believe a child has provided information to us.
The Service may link to or integrate with third parties. Their privacy policies govern their independent handling of information. Review their terms and permissions before connecting or using them.
Policy updates and contact
We may update this Policy to reflect product, legal, or operational changes. We will post the new version with a revised effective date and provide additional notice of material changes when required.
